I get a lot of emails: for work, for personal, and let’s not even start with subscriptions or spam. My inbox is made up of emails from friends, family, co-workers, vendors–a whole range of different people. And all of these folks come from different parts of the world, use different fonts and different colors and have a different style for email. As email increases as a form of communication, what does your email style say? Email impression is in the eye of the reader–I’m here to get you to start thinking about it.
How do you open your emails? “Dear John,” is different than, “Hi John,” which is different then starting with just, “John,”–what do you use? Does your greeting change based on how often you talk to this person? Does it matter if you’ve met the recipient or not? What if the tone or urgency of the email conversation changes?
How about how you end your emails? Do you have a signature that automatically is added to all of your emails? Does it include a sign off automatically or do you type it in? “Cheers,” “Yours truly,” “Sincerely,” “Regards”–each of those will come across differently as well. Are you one to include a motivational quote in your signature? How about social networking icons so others can connect with you?
How do you write your emails? Do you start with small talk and then get to the point of the email? Do you use bullets and headers to organize the email and highlight what’s important? Are you short and to the point or detailed and thorough? How about punctuation and emoticons? When you get passionate and excited, does it show?!?!?!??!?!?!?!?! Or do you put lots of sentences together so you have a really long sentence when you really should put in commas or periods so that the reader can stop and breathe or think before they keep reading on to the next thought?
Now this last piece is more for you then it is for the recipient: how do you organize your emails? If you’re like me, you use color-coded categories, follow-up flags, reminders, and lots of folders. I know some people who like to keep their inbox as small as possible while others aren’t bothered by an inbox with over a thousand unread messages. Do you CC yourself and anyone who might have the remotest interest on your message or do you run a tight ship with only “need-to-know” recipients?
Whatever your email style may be, it says something about you–or does it? Something that always made me chuckle is how aligned some people are to their email style and how drastically different other people are when compared to their email style. (I already told you that the point of this post is to get you to think about your style, but please, for the sake of all of your recipients, don’t use ALL CAPS or Comic Sans font.) So–what’s your email style?
